Common Questions

You've got questions, we've got answers

Great question! Check out the process of booking and planning your retreat below or contact our team with any questions.

  • As a rental group, you will have sole use of the various reserved spaces during the course of your booking. This means that during your time here no other group will be using your same lodge or dormitory. The one exception to this is the St. Kateri Chapel which is a shared space so that every guest can spend time with our Eucharistic Lord. Your group’s Missionary Host will coordinate specific Chapel times for group liturgies or devotions.
  • Take advantage of our nearly 300 acres of natural beauty by exploring our trails, woods, and plains. The first Gospel is that of Creation, so dive in and experience the Lord outdoors. We do ask guests to avoid crossing fencelines or opening gates.
  • While we do offer a variety of amazing high-adventure activities, these generally require trained and authorized facilitators. Please ask your Missionary Host about possible activities for your retreat, and stay clear of controlled spaces such as the lakes, challenge courses, and the corrals.
  • Generally, all setup is left to the group. This leaves the spaces in an open state, ready for your finishing touches. Tables and chairs are made available in both Lodges. Please coordinate with your group’s Missionary Host for any specific requests.
  • Basic projection and audio systems are included in your booking for each Lodge as well as the St. Kateri Chapel.
  • In the Main Lodge a projector is set up in the Disco Tek, with a 72” projection screen. The projector can receive both HDMI as well as VGA inputs. The sound system can receive live audio as well as digital audio through a 3.5mm jack or RCA connection.
  • In the Apostles Lodge a projector is available upon request and comes with multiple adaptors to accommodate various connection ports. A 60” pull-down screen is mounted in the main meeting space. The sound system can receive live audio as well as digital audio through a Bluetooth receiver, a 3.5mm jack, or an RCA connection.
  • In the St. Kateri Chapel the projector displays on the front wall, next to but not in the sanctuary. The projector is fully integrated with the sound system through a digital processor, making setup a breeze. Inputs to the A/V system can be in the form of XLR cables, 3.5mm jacks, HDMI cables, and VGA cables.
  • In the Hangar the sound system can receive audio from Bluetooth, 3.5mm jacks, XLR cables, and CDs.

  • Groups at Prairie Star Ranch are not required to make use of our catering options, but many do. We take the hassle out of meals and offer leaders more time to focus on relational ministry. Check out our current menu and ask your Missionary Host for more details.
  • For groups wanting to handle food service, we want to help you be successful. Groups have three main options:
    • Providing their own food by making use of our basic lodge accommodations of a refrigerator, microwave, preparation space and sinks, outlets, and a charcoal grill.
    • Catering through another vendor who sets up and provides meal service.
    • Renting the commercial kitchen is an option for groups renting the Main Lodge. This space offers convection ovens, multiple reach-in refrigerators, and ample preparation space and sinks. Due to the increased risk of injury or food-born illness with this option, all groups renting the kitchen are required to assign a kitchen manager for the duration of their stay, who will undergo a short training on the use of the kitchen and ensure that proper food handling procedures are followed.
  • To ensure every group can take full advantage of the facility and grounds, every group is required to rent either the Main Lodge or Apostles Lodge during their stay. These two spaces are versatile venues, providing ample restrooms and food service areas.
  • The Main Lodge is best suited for groups of 50 or more guests, while the Apostles Lodge is perfect for groups of 15-50 guests.
  • We advise all groups to bring a first-aid kit as well as a method for handling, storing, and dispensing medications for any minors who are not with a parent or guardian. If your group is utilizing any PSR-facilitated activities we ask groups to bring the completed Liability Waivers for all participants.
  • For your retreatants, here are some key packing list items to include beyond clothing:
    • Bedding for twin-sized mattresses (Logos Dorm has a few full-sized mattresses)
    • Towels and toiletries
    • Close-toed shoes are required for most PSR-facilitated activities
  • The safety and care of every guest that passes through our gates is of the utmost importance. In a special way, we want to ensure that every young person that this is a safe place for them to dive deeper into their relationship with God and others. To that end, we ask all groups to
    • Provide training for all chaperones on protecting children and avoiding 1-on-1 interactions between adults and minors.
    • All chaperones for Archdiocesan retreats must be VIRTUS trained.
    • Supervision and behavior response are the responsibility of the group chaperones and leadership, and so we ask all chaperones to remain actively engaged during the retreat.
    • We require a 1:8 chaperone-to-minor ratio, and for overnight retreats, this ratio must be maintained at 1:8 by gender as well.
  • To secure your booking a non-refundable, non-transferable deposit equal to 50% of the anticipated total cost is due within two weeks of requesting the booking dates.
  • The final payment for the retreat is due two weeks following the retreat, in order to give groups more flexibility, as we understand that retreatant numbers change frequently and we want to make group leaders' jobs easier.
  • We understand that plans change and retreat ministry is no exception. The following cancellation policy is meant to offer you a clear understanding of our expectations.
    • Event deposits are due within fourteen days of the Booking Contract being sent to the Sponsoring Group. Payment of all other fees is due within fourteen days of the final invoice being sent/given to the Sponsoring Group.
    • Canceling a booking results in the loss of the deposit and a charge for any PSR-incurred expenses such as catering.
  • Congratulations on your engagement! In order to stay focused on our mission of retreat ministry, Prairie Star Ranch does not rent out our spaces for weddings or wedding receptions.
