What is the Encounter Rally?

Formally known as the “Junior High Youth Rally”, our one-day event on February 23rd, 2025, at Prairie Star Ranch is designed to be more than just a gathering—it’s an invitation to encounter God in a meaningful and transformative way. Through engaging activities, inspiring talks, and heartfelt worship, we aim to provide a space where students can connect with their faith, build lasting friendships, and feel empowered to live out their Confirmation promises.

IMportant Dates for Group leaders

Sept. 9 -> Group Registration Opens

Group registration opens online at 10:00AM CST. 

14 days after registration -> Deposit Payment Due

A non-transferable, non-refundable $15.00 deposit, per spot, is due.

January 13th -> Final Drop Date

The Youth Ministry Office must be notified of any dropped spots by Monday, January 13th. After this date each group will be financially responsible for the entire cost of all remaining spots for which they registered.

February 1st -> Final Payment Due & Complete Individual registration Form for all Attendees

The remaining payment is due on February 1st. The final bill will be sent to Group Leaders immediately following the Drop Date. The Group will be financially responsible for the spots originally registered unless adjusted by January 13th. All late payments will be charged a 10% late fee.

FAQ’s

The Encounter Rally will take place at Prairie Star Ranch located in Williamsburg, KS.

Registration is $50 / person.

Priests, deacons, and seminarians attend for free.

A free t-shirt will be given to each registrant who brings a bag of apples or oranges for Catholic Charities.

Look for the “Registration” button at the top of the page. Clicking it will lead to the group registration page. After registration goes live, you will see a registration form that you will need to complete in order to register your group. Before registration goes live, it will contain a message that registration is not open.

No. On the day of registration you will only need to know the number of participants, the number of young adults, the number of chaperones and the number of priest attending.

No. All participants must register and attend the conference with a Group. A Group is defined as one adult leader with one or more teen participants. No individual registrations are accepted. Please contact Kyle at youth2@archkck.org if you are having trouble finding a group to attend with.

The Group Leader is the individual organizing the trip for their group or parish. The Group Leader must be 21 years old and attending the rally. All correspondence and planning, prior to the conference will take place between this individual and the Youth Ministry Office.

Chaperones must be 21 years of age and have completed the Virtus Safe Environment training. (It is the responsibility of the Group Leader to ensure that all chaperones are in compliance). Chaperones should be prepared and able to walk long distances across campus, handle loud music in the sessions and keep up with active youth. The Youth Ministry Office requires 1 chaperone for every 8 youth, per gender and no more than 1 per every 4 youth. Please call our Office with any questions about numbers. Each group should have at least 2 chaperones, even if the group is less than 8 youth.

Young Adults are individuals who are between the ages of 18 and 21 and past the summer after their senior year of high school. There should be no more than 1 young adult for every ten teen participants. Young Adults must also be in compliance Virtus Safe Environment training.

Youth participants may range from 6th grade students through 8th grade students.

The Archdiocese of Kansas City in Kansas has a Chaperone to Teen ration of 1:8. Each group will need to bring both male and female chaperones if you are bringing both male and female teens. Each group should have at least 2 chaperones, even if the group is less than 8 youth.

Yes. We encourage all groups to invite their parish priest to attend. Any priest who attends will be admitted to the conference for FREE! Priests must register online with your group.
