Strategic Planning: Complete and distribute the full ministry calendar for the upcoming semester (6 months) at least 30 days prior to the start date.
Financial Stewardship: Reconcile all ministry expenses and provide a brief budget-to-actual report to the parish business manager by the 5th of every month.
Impact Reporting: Submit a monthly “Ministry Pulse” report to parish leadership detailing participation trends, volunteer health, and at least two stories of “off-campus” impact.
Planning Rhythm: Dedicate 4 hours every Monday to “Deep Work” focusing solely on logistical preparation, calendar management, and upcoming event checklists.
These move the needle from parish-bound activities to meeting students where they are.
Adult Recruitment: Conduct 4 “Coffee/Inquiry” meetings per month with potential adult mentors specifically for the purpose of off-site student outreach.
Deployment: Successfully train and deploy 2+ adult leaders to attend local community events (sports, plays, school functions) per month to support students in their own environment.
Presence Ministry: Spend 3+ hours per week at local “third spaces” (coffee shops, parks, school campuses) to be visible and available to youth outside of parish walls.
Home Outreach: Coordinate and execute 3 “Home Visits” or “Porch Meetings” per quarter to engage families who are not currently active in parish life.
Moving away from being a “lone wolf” to being a “leader of leaders.”
Mentorship Loop: Meet 1-on-1 with every active volunteer at least once per quarter for a “Check-in & Care” session to prevent burnout and ensure alignment.
Training Consistency: Design and lead 4 focused “Mini-Training” sessions (30-45 mins) per year that specifically teach volunteers how to share their testimony or facilitate small groups.
The 2:1 Ratio: Aim for a 2:1 ratio of volunteer-led interaction vs. staff-led interaction during all major events to prioritize student-mentor relationships.
Parental Partnership: Send a “Month-at-a-Glance” digital newsletter to parents that includes one “At-Home Resource” (discussion starter or prayer) to empower ministry in the home.
Digital Hub: Update the parish website and all digital registration forms at least 4 weeks prior to any major event deadline to ensure a frictionless “customer experience” for families.
